With Baresquare and Claude, Domes brought all its tour-operator agreements into one queryable database: a foundation for responsive partnerships and growth across the group.
The challenge
Domes negotiates with each tour operator individually. Every agreement sets its own rates, allotments, release days, discounts, child policies and payment terms. That knowledge lived in the contracts themselves, in the spreadsheets beside them, and in personal notes that summarised the common terms and listed the exceptions. Written by people for people, none of it could be queried.
Each partner request — whether a rate confirmation, an allotment check or a policy question — required around 20 minutes of manual document search.
No systematic link between contractual commitments and live booking data, so teams could not act on shortfalls while the season was still open.
Every bespoke arrangement added overhead for every team — reservations, sales, contracting — across a growing portfolio of operators and properties.
Institutional contract knowledge sat with individuals, creating a steep learning curve for new team members and risk when people moved on.
The solution
Baresquare built a pipeline in which Claude Opus 5, through the Claude API, reads every contract — including those held only as scanned images — and records each rate, allotment and term together with the exact page it came from. All 1,653 agreements became structured data on what Domes has agreed with every partner. The pipeline was built and runs in production with Claude Code. That data now supports three connected commercial workflows.
An incoming partner request — a rate confirmation, an allotment check, a policy question — is checked against the governing contract as it arrives. Claude interprets the request and returns the answer with the clause behind it, so the team confirms in seconds whether the request is covered.
With the allotment dataset in place, live bookings are checked against contracted commitments every day. Pickup that falls behind a contracted allotment is visible while the season is still open, so teams can support the partner and act on demand before release deadlines pass.
Terms that were visible only one contract at a time are now comparable across the whole estate. Renewals draw on this season's booking trends; new agreements build from a library of established terms adapted to each partner's needs, so onboarding a new operator or property starts from what the group already knows.
The results
Around 130 hours a month freed from document checks — time that now goes to partner relationships and selling the season ahead.
Pickup shortfalls are visible while the season is still open. Teams respond to demand before release deadlines pass.
Time to prepare new and renewal contracts, with terms drawn from the established library rather than assembled from scratch.
Increased capability to tailor agreements to each partner's booking trends without adding overhead across the team.
New team members have the full contract estate from day one — no institutional knowledge required to answer a partner question.
Checking a contract by hand was necessary work, but it was never our best work. That time now goes to our partners and to selling the season ahead.
Looking ahead
With every contract stored as structured data, Claude can now monitor which terms work, where and for whom. The group's strategy now builds on that knowledge.
